Contracts connected to customer records

Contracts that live in a drawer are not part of the business. They are a rainy-day pile.

Contracts connected to customer records sound like a legal feature. They are an operations feature. The next visit needs the paper the last visit signed. BOC locks contracts to the customer file so reception does not hunt email, and so the room does not guess what was agreed. Appointment-based businesses sign consent, packages, payment plans, and house rules. The document should sit on the same person as the balance and the history.

Why a shared drive is not enough

A drive named “contracts” dies when the file name does not match the customer. People upload twice. People upload never. BOC keeps the signed copy on the file the calendar already opens. Notes and PDFs live there too. You are not launching a second program and hoping the names match.

Key takeaway If the desk cannot open the signed copy while the customer is at the door, the contract is not in the system.

Permissions still belong on the file

Not every role should download every document. The same permission model that hides sales and limits branches decides who can see files. The activity log still knows who opened what. That is how you keep contracts close to the work without putting every junior in the archive.

When a customer bought a package, the remaining visits should not live in a receptionist’s memory. When they signed consent, the next colleague should not ask them to mime the story. The contract on the file is how both survive a busy Tuesday. Start a free trial and attach the next signature to a person, not to a folder.

Questions

Where does BOC store signed contracts?

On the customer file, next to visits, notes, and balances — not in a separate legal app.

Can every staff member open every contract?

No. Access follows the same staff permissions as the rest of the workspace.
