Customer records and files for appointment-based businesses

Contacts without history are not records. They are a phone book.

Customer records for appointment-based businesses have a simple job: the next visit should start where the last visit stopped. That is true in a clinic, a salon, a consultancy, and a training centre. BOC keeps the record next to the appointment and the cashier so the file is not a second database the desk forgets to update. This is not a marketing CRM. It is the card for a person you already booked.

What belongs on the record

Identity, visit history, notes, documents, contracts, and balances. Clinics also keep conditions, medications, and treatments. Dental teams keep the FDI chart. Other teams still need photos, PDFs, and what was actually delivered. If a field only exists so a report looks busy, leave it out. If a field saves the next person from asking again, keep it. Contracts belong here, not in a drawer labelled “legal”.

Key takeaway A customer record is complete when the next colleague can continue the visit without asking the last colleague.

Files without appointments go stale

A folder of PDFs that cannot be opened from the visit will not be updated. BOC stores notes, photos, and documents on the same file the calendar already uses. Permissions still apply. Export still includes the history when you download the business. The record should survive a new receptionist and a new phone.

WhatsApp from the record — not from a private phone

When you need to reach the person, open WhatsApp from the file. That is one tap to their number. It is not an automated campaign. The conversation starts from the record the team can inherit. Start a free trial if you want the next colleague to continue, not reconstruct.
